QuotingAI vs Buildertrend

They Won't Show You A Price Until You've Had The Sales Call.

Buildertrend's pricing page has no numbers on it. You pick your builder type, enter your annual construction volume, and wait for a call. There's no free trial either — their words, not ours.

The Short Answer

Buildertrend is a full construction-management platform — CRM, proposals, bids, estimates, job costing, change orders, schedules, daily logs, client and sub portals — aimed at builders running several projects at once. At that job it is a strong product, and quoting is one module inside it. What it will not do is tell you what it costs: the rate is quoted against your builder type and annual construction volume after a form and a sales call, there is no free trial, and the subscription auto-renews with non-refundable fees. If your problem is walking into a kitchen, quoting it, and getting it signed with a deposit before you leave, you'd be buying an entire operating system to use one part of it, at a price you can't see until you're on the phone.

Buildertrend is a construction project-management platform (buildertrend.com). QuotingAI does one job end to end: describe a job, get a priced itemized quote, send a branded proposal, collect an e-signature and a deposit.

What Buildertrend Actually Costs

Every figure below is quoted from a page we read on July 25, 2026. Where Buildertrend does not publish a number, this table says so instead of guessing.

Read this first: There is no price table below because Buildertrend publishes no price. The one price-shaped thing on their site is an offer, not a rate: “Special offer: 10% off*”, with the fine print “*When you pay annually upfront.” The rest of the commercial terms live in the Terms and Conditions rather than on any pricing page — the subscription automatically renews after the initial term, all fees paid are non-refundable, you must cancel before the renewal date to avoid being charged, and renewal fees may carry “a consumer price index (CPI) increase of up to ten percent.” You will see monthly figures for Buildertrend attributed all over the web; they contradict each other by hundreds of dollars a month, none is vendor-verified, and we won't repeat any of them.

All plansNo rate published. Pricing is quote-only, behind a three-step form asking builder type, annual construction volume and contact details, then a sales call[1]Not publicly listed — the Terms tie the term to your individual Order Form and allow monthly, annual or multi-yearUnlimited users[1]Unlimited projects as well — the subscription is flat per company, not per seatNo per-seat schedule published. Users are unlimited, so adding staff nominally costs nothing — but nothing is published to confirm it[1]

Seat model

Flat per company, not per seat. Their FAQ says every plan includes the full collection of features with no add-ons to buy, so there is one entry here rather than a tier ladder — the quote is sized to your builder type and annual construction volume.

Free trial

None[3]Vendor's own words: they don't offer a free trial because “only fully committing allows you to see Buildertrend's real value.” They offer a personalized demo instead

Not publicly listed. Six paid additional services are named with no figures against any of them, and the pricing page references optional setup, training, onsite consulting and strategic reviews[5]

CapabilityQuotingAIBuildertrend
AI drafts the quote from a plain-language job descriptionBuildertrend does have AI, and it works — AI-powered Client Updates writes weekly progress summaries for the homeowner out of daily logs, schedule items, change orders and invoices. It is pointed at keeping clients informed. Their estimating page makes no AI claim at all.YesNo[8]
Prebuilt regional cost databaseBuildertrend publishes a shared Cost Catalog — a centralized database of material pricing and labour rates for your company. Whether any regional cost data ships preloaded isn't stated, so we're not claiming it either way. QuotingAI prices from the pricebook you build.NoNot publicly listed
Itemized line-item quotingLabour, materials, equipment and subcontractor costs in one place, and line items push through to bid packages, purchase orders and client invoices.YesYes[8]
On-screen takeoff feeding the estimateFirst-party Takeoff sends material quantities straight into the estimate. We don't do takeoff and don't pretend to.NoYes[9]
Branded proposal documentPre-built templates or proposals from scratch, tailored per job. How much logo and brand control you get isn't detailed on the page.YesYes[7]
Client e-signature on the quoteReal and published on both sides. Buildertrend captures signatures and initials in-program, and the client approves and signs from the Client Portal.YesYes[7]
Deposit collected at signatureAlso real. Once the account is set up for electronic payments, a proposal can require payment at the time of signature, with a controllable amount or percentage. It rides on Buildertrend Payments — whether that processes for Canadian merchants isn't published. Ours is Stripe.YesYes[12]
Full invoicingQuotingAI stops at the signed deposit on purpose. Invoicing and books stay in your accounting software.NoYes[13]
SchedulingSchedule is one of their core feature categories. We expect you to keep your own scheduler — that's a choice, not a gap we're working on.NoYes[6]
Native mobile appBuildertrend ships a full-featured iOS and Android app. QuotingAI is a PWA — it installs to the home screen and works offline, without an app store.YesYes[14]
GST / PST / HST handling by provinceBuildertrend handles it through tax rates you configure yourself — name, percentage, agency, and grouped rates where GST sits on top of PST. Their own help content walks through custom rates like 4.6729% and 4.717% for exactly that. It works; you set it up.YesYes[15]

Straight Talk

Who Should Actually Pick Which

Pick Buildertrend If…

You're running twelve jobs at once, not winning one

Buildertrend's published feature set covers CRM, proposals, bids, estimates, job costing budgets, change orders, plans and specifications, schedules, daily logs, a client portal and a sub portal. Quoting is one module inside a system built to run the whole build. If your actual problem is subs, selections, change orders and schedules colliding across live projects, no quoting tool solves that and Buildertrend does.

You have real headcount and don't want to count seats

Unlimited users and unlimited projects, on a flat company subscription. A 25-person builder pays what a 5-person builder pays, and putting every field lead, estimator and office admin in the system costs nothing extra. That is genuinely good economics at scale and it beats our seat caps outright — we cap at 15 on our largest plan.

You want takeoff, estimating and job costing in one system

First-party Takeoff feeds material quantities straight into the estimate, drawing on a shared Cost Catalog, and the line items carry forward into bid packages, purchase orders and invoices. Two-way sync with QuickBooks Online, QuickBooks Desktop and Xero moves cost codes, bills, invoices and payments. Stitching that together out of separate tools is a real headache they've already solved.

Your jobs live or die on client communication

Long remodels are won and lost on whether the homeowner feels informed. The Client Portal plus AI-powered Client Updates turns the data your crew already enters — daily logs, schedule items, change orders, invoices — into a polished weekly summary for the client without anyone writing it. On a nine-month build that is worth more than a faster quote.

Pick QuotingAI If…

You want to know the price before you speak to anybody

QuotingAI is $55 a month for one user, $132 for up to five, $244 for up to fifteen. Canadian dollars, flat rate, printed on a public page. Buildertrend's rate depends on your builder type and your annual construction volume, and you find it out on a call. Neither approach is dishonest — but one of them lets you decide tonight.

You want to try it before you commit to it

Fourteen days, card required, and you can quote a real job in that window. Buildertrend's FAQ says plainly that they don't offer a trial because only fully committing shows you the value. Their commercial terms follow the same logic: the 10% discount requires paying a year upfront, fees are non-refundable, the subscription auto-renews unless you cancel before the renewal date, and renewals can carry a CPI increase of up to ten percent.

You want the AI on the quote, not on the update email

Both products have AI and both AIs are real. Theirs writes the weekly progress summary for the homeowner. Ours listens to “two-hundred foot cedar fence, six foot, one gate, post holes through clay” and produces the itemized quote, priced from your pricebook, ready to send. Different job, and it's the job you're doing in the driveway.

You only need to win the job

QuotingAI does one thing end to end: spoken description to itemized quote to branded proposal to client signature to a Stripe deposit in your account. There's nothing to roll out, no team to train, no data migration. Buildertrend is a platform you adopt. If you're a solo trade or a small crew, that's a lot of system to buy in order to get a quote out by Thursday.

Questions

Switching From Buildertrend

What does Buildertrend cost?+

They don't say. As of July 25, 2026 there is no dollar figure anywhere on their pricing page — no rate, no plan names, no tier ladder. You choose your builder type, enter your annual construction volume and contact details, and a salesperson quotes you. Their FAQ confirms the logic: pricing is personalized per business, based on builder type, annual revenue and specific needs. The only published number is a discount — 10% off when you pay annually upfront. You'll find monthly figures for Buildertrend on review sites and competitor blogs, and they disagree with each other by hundreds of dollars a month. None of them is confirmed by Buildertrend, so we won't repeat any of them here. Ask them for a quote; that's the only number that will be true for you.

Does Buildertrend do e-signature and take a deposit?+

Yes to both, and anyone telling you otherwise hasn't read their documentation. Buildertrend captures signatures and initials directly in the program, and the client approves and signs the proposal from the Client Portal. Once the account is enabled for electronic payments, you can attach a payment request to any proposal and choose whether payment is required at the time of signature, including the exact amount or percentage. The one open question is geography: whether Buildertrend Payments processes for Canadian merchants isn't published on their site, so we won't claim it does or doesn't. QuotingAI collects the deposit through Stripe.

Does Buildertrend have AI?+

Yes. They launched AI-powered Client Updates in June 2025 — it generates polished weekly progress summaries for homeowners out of the daily logs, schedule items, change orders and invoices your team already enters. It's a real product solving a real problem. What it doesn't do is write your estimate: their estimating page makes no AI claim at all. That's the actual difference between the two products. Their AI reports on work you've already won; ours drafts the quote that wins it.

Can I use Buildertrend in Canada, and does it handle GST and PST?+

Yes on both counts. They advertise over a million users across 80+ countries and their quote form accepts Canadian provinces. Tax is handled through rates you configure — each one needs a name, a percentage and an agency, and group rates let you stack them, with the rate applying only to line items marked taxable. Their help content specifically covers GST charged on top of PST, including custom purchase tax rates of 4.6729% and 4.717% for the 7% and 6% PST provinces. It works. You set it up yourself, and Canada-specific support terms aren't published.

How current is the research on this page?+

Every Buildertrend statement here was read from their own pages on July 25, 2026, and each one links to the page it came from. Because their pricing is quoted per business rather than published, it moves — and because it isn't published, nothing on this page can go stale into a wrong number. If a feature has changed, or you've been quoted something that contradicts what's written here, email hello@quotingai.ca and we'll correct it. We'd rather fix the page than defend it.
