Why Per-Seat Pricing Bites Later, Not Now

Per-seat software is cheap on the day you buy it, because on that day you are one person. The cost is not the sticker — it is the derivative. Every estimator you add is a permanent monthly increase, and it lands in the same month you took on the payroll, the truck and the insurance for that hire.

Watch for three things the sticker price hides. First, who counts as a user — some vendors count anyone who logs in at all, including field crew who only look at the schedule. Second, seat ceilings: several plans include a fixed number of users and jump you to the next tier the moment you exceed it, so your bill does not rise smoothly, it steps. Third, the currency — a US-dollar subscription is a moving Canadian cost you do not control.

None of this makes per-seat pricing wrong. If you are a solo operator and intend to stay one, per-seat is often the cheapest thing on the table, and this calculator will show you that plainly.
